• Cancellation, Modification & Refund – (Public Trips)

1. Booking Modification:

Clients may request reschedule their booking. This request is subject to availability and is reviewed on a case-by-case basis. Yalla Hike reserves the right to approve or reject the request based on trip conditions and the nature of the modification. In some cases, additional charges may apply.

2. Cancellation by the Client:

If the client wishes to cancel a confirmed booking, the following refund policy applies:

  • If cancellation is made more than 14 days before the trip date: 100% of the amount paid will be refunded.
  • If cancellation is made between 7 to 13 days before the trip date: 50% of the amount paid will be refunded.

A trip may be canceled or rescheduled by Yalla Hike for operational, organizational, or health-related reasons involving the trip organizers, or for any reason deemed by the company to affect the safety or quality of the experience. Yalla Hike also reserves the right to cancel the trip if the minimum number of participants (approximately 4 people) is not met.

In the event of cancellation by Yalla Hike, clients will be notified in advance via WhatsApp message or phone call, and will be offered one of the following options:

  • A full refund, including VAT (excluding any non-refundable costs incurred by the company).
  • Credit for the paid amount, valid for up to 6 months from the cancellation date.
  • An alternative arrangement; if the new trip cost is lower than the original booking, the price difference will be refunded to the client.

Yalla Hike shall not be held responsible for any additional costs or obligations incurred by the client because of the cancellation.

4. Force Majeure:

In cases beyond our control—such as wars, natural disasters, severe weather conditions, pandemics, or any other emergency circumstances that impact the execution of the trip—the activity will be canceled, and the full amount paid will be refunded without any deductions.

Cancellation, Modification, and Refund – (Private Trips/Events)

This section applies to all individuals or entities coordinating private trips or events with Yalla Hike, including any activities organized outside the scope of publicly advertised group trips.

Trip Request and Service Selection:

  • Yalla Hike provides a proposal that includes a list of available services and add-ons (e.g., setups, hospitality, special activities, transportation, etc.). Clients may select the options that suit their needs.
  • Pricing for private trips varies depending on the number of participants, day type (weekdays or weekends), requested services, and event details.

Final Participant Count Confirmation:

  • All arrangements and logistics are based on the final number of participants confirmed by the organizing party or responsible person.
  • As all expenses and preparations are made accordingly, no refunds will be issued if fewer participants attend than originally agreed upon.

Early Coordination and Full Payment:

  • All trip details must be finalized and full payment completed within a sufficient time prior to the event date, with a maximum deadline of 4 days before the scheduled trip. This is to allow proper coordination of logistics and special arrangements.
  • Yalla Hike reserves the right to cancel the reservation if this condition is not met.

Private Bookings for King Khalid Royal Reserve:

  • Private trips in the reserve require the issuance of official entry permits.
  • The organizing party must provide a full list of participant information (full name, ID/Iqama number, nationality) at least 3 days before the event to complete permit procedures.
  • Additionally, any tools or equipment participants wish to bring into the reserve must be communicated in advance and will be evaluated according to the reserve’s regulations.

Client Cancellation Policy After Trip Confirmation:

If a private trip has been confirmed by Yalla Hike and the full payment has been made, and the client then decides to cancel:

  • If the cancellation is made 2 weeks or more before the scheduled trip date, the full amount will be refunded minus 15% VAT and any expenses incurred for external coordination with service providers as per the client’s requests.
  • If the cancellation is made less than 4 days before the trip, no refund will be issued, as preparations and logistics would have already commenced.
  • Cancellations made between 14 and 4 days before the trip will be evaluated on a case-by-case basis, depending on actual costs already incurred.

Event Cancellation by Yalla Hike:

  • If Yalla Hike decides to cancel the private trip due to operational, organizational, or health-related reasons concerning the organizers, the organizing party will be informed in advance via WhatsApp message or phone call. The client will then be compensated with either:
  • • A full refund of the amount paid, or
  • • A credit balance valid for up to 6 months, as agreed upon with the client.
  • If the cancellation is due to force majeure circumstances beyond our control—such as severe weather conditions, sudden official decisions, natural disasters, pandemics, fires, or unexpected incidents affecting participant safety or event organization—the full amount paid will be refunded without any deductions.

·       • Credits:

Credit Validity:

Any credit issued due to a cancellation by a participant (individual or entity) can be used toward any trips offered by Yalla Hike, whether public or private. The credit must be utilized within 6 months from the date of issuance; after that, it will be considered expired and non-redeemable.

Credits cannot be refunded in cash except in emergency or exceptional cases. In such situations, the participant must contact the organization in advance and provide clear justifications. The request will be considered at the discretion of the organization and according to its internal policies.

·       • Credit Limitations:

Credit can only be used within the available options and values provided by the organization. Having a credit balance does not guarantee a confirmed booking unless availability is confirmed and coordination is completed.

·       • Promotions & Discounts:

Credit cannot be used in combination with promotional offers or discounts unless prior approval is obtained from the organization after reviewing the case individually. The organization reserves the right to accept or reject such requests according to its internal policies.

Age Group Participation Policy:

• Participation in both public and private trips is open to all age groups.

Children under the age of 11 must be accompanied by a responsible adult who will supervise them throughout the entire trip. Yalla Hike is not liable for any harm or injury that may occur due to negligence or lack of supervision by the accompanying adult.
